Understanding My Calendar
This page displays information about tasks that have been allocated to you and any appointments that you enter.
You can display information for today, for one week, two weeks, three weeks, four weeks, or a month at a time.
- Allocations — An allocation is time that you are scheduled to work on a task that is associated with a job. When you hover the cursor over an allocation in the calendar grid, a pop-up displays additional detail about that task, such as its name; the project that it belongs to; the owner, stage, deadline, and amount of time assigned to it; and other information as available. Allocations appear in green. When you click on an allocation, a summary line for that entry appears at the bottom of the page.
- Time sheet entries — As you work on your allocated tasks, you can double-click on an entry in the calendar grid to display a box that represents a time sheet entry. Time sheet entries appear in blue. This entry defaults to the allocated time for the task, but you can resize the box to reflect a different amount of time that you actually spent on the task. If you expand a task to indicate that you spent more time on it than was allocated, the job owner is notified of the task time overrun.
When you click on a time sheet entry, a summary line for that entry appears at the bottom of the page. In this summary line you can add notes (in the text entry box) and select or deselect the Billable check box to change the status of the entry from billable to non-billable, respectively, if you have the correct permissions. You can also mark time entries as submitted by selecting the Submitted check box.
When you have created a time sheet entry, click Save at the bottom of the page to save it. If you have created multiple time entries, you can choose Submit All from the Time Sheet Controls drop-down at the bottom of the page.
- Booked time — Appointments that are not related to a job or task appear in the calendar grid as booked time. Booked time appears in yellow.
